Board Self-Nomination and Important Info

Looking to join the board of this great organization? Our Board formed in January 2021 and are entering our third year with a bang! If you have not completed the contact form, a requirment of this process, please start there and come back to this page when done.

Anyone participating in any role described below absolutely must adhere to the code of conduct described in our Policy and Procedure Guide. Abusive behavior may result in removal from the role you volunteered for.

Basic Roles in Queerburners: Expectations and Duties as a Board Member and Leader

All Board Members

  • Attend all Board Meetings and be present mentally and physically (even through video)
  • Engage in some passion project within the scope of our bylaws and our mission to help carry the community forward
  • Participate in at least one committee, meeting monthly
  • Listen for calls to action from any department and provide support when possible
  • Express themselves in a professional and considerate tone 
  • Use Discord as our back office communication channel
  • Use their designated @queerburners.org email address for Queerburners-related business
  • Contribute a donation within their individual ability to the organization at least 1x per year
  • Upon quitting, resignation, or completion of term all access to Queerburners documentation will be limited or removed (including email and Social Media Account Access)

Chair – Board Member

A person who has the passion for the community and the services of our community and participants. Someone who is community focused and aware of the needs of others above themselves. Someone who is willing to do what it takes to drive the ship, has the voice and temperament to let others shine, and is able to roll with change.

  • Passion and flexibility: Able to see the future for Queerburners, to inspire others to help build that vision, to adapt to changes in vision, to show flexibility and understanding of when to step back/let go if the wisdom of others changes the direction of Queerburners.
  • Engagement: To multitask maintaining engagement with all departments and check-in monthly at a minimum. 
  • Time commitment: 4 to 6 hours a week on average.

Co-Chair – Board Member

This role is a reflection of the Chair and will assume the role in absence of the same. Will also serve as a temperature gauge for other Board Members with concerns about policy and procedure within the scope of Queerburners. May also have to be more cheerleader sometimes to off-set the pressure of the Chair when needed.

Committee Positions:

  • Tech Support - non-Board
    • Answers tech support questions regarding the web site and discord.
    • 1 to 2 hours a week on average
    • (Note: this role may shift to another board member / committee as needed)

Treasurer – Board Member

This role should be helmed by a single person with experience with nonprofit finances and the fiduciary therein. Queerburners is a 501(c)(3) non-profit and operates its finances through QuickBooks. The treasurer will have access to our banking and other financial channels (Stripe, Little Green Light, Paypal, and our bank). Responsibilities could be shared between two people if needed, but ultimately it is the Treasurer's role to:

  • Report our financial status and forecast at each board meeting
  • Keep Quickbooks updated and reconciled
  • Manage the budget worksheet and help keep expenses and costs within scope
  • AP/AR
  • 2 to 4 hours a week on average

Clerk – Board Member

This role is very important in that it helps keep the ship in scope and makes sure the leadership of Queerburners is following its own standard and practices. There are times when the Clerk will fix an issue when something has creeped out of line; like how minutes were recorded or the misplacement of a document in the files. The Clerk is empowered to enforce policies and procedures and is the guardian of those documents and records for the organization.

  • Maintain legal documents in a secure folder
  • 2 to 4 hours a week on average

Communications Director – Board Member

Manages the communications from Queerburners and vets copy/content to ensure it is within scope of our policies and procedures. A crucial position as it also makes sure our voice is unified and in line with our mission as well.  Ultimately, the Communications Director is responsible for all channels.

  • Manages communications copy and content; approves written material before published 
  • Reports to board on the status of all channels:
    • www.queerburners.org, blog.queerburners.com, twitter: queer_burners & allofusevent, instagram: queer_burners, Facebook (13 groups)
  • Actively reviews and provides “suggestions” on Google Docs for publication weekly as needed
  • Oversees the committee positions below
  • 1 to 2 hours a week on average

Committee Positions:

  • Social Media Guru (under Communications Director) - non-Board
    • Facebook posts at least 1x week depending on what is active from Queerburner and allies
    • Twitter posts at least 1x week depending on what is active from Queerburner and allies
    • Instagram posts as needed depending on what is active from Queerburner and allies
    • 1 to 2 hours a week on average
  • Blog Master - non-Board member
    • 1 to 3 approx. blog posts / month by non-board members or participants within the community within the scope of LGBTQIA+ Burning Man participants and projects
      • Shared to Social Media
    • 1 to 2 hours a week on average

RIDE Director – Board member

Radical Inclusion, Diversity and Equity are touchstones for Queerburners because our community includes traditionally marginalized communities. It is vital that we are always aware of the perspectives and optics of what we represent to the public. This role may work closely with all members of the Board in a lot of forms. 

  • Consult in the areas of Inclusion, Diversity and Equity in our messaging
  • Provide challenges 1x or more / month to Board Members in RIDE education
  • Official output to the community 1x or more /month to the community
  • Report the status of RIDE to the Board at meetings
  • 1 to 2 hours a week on average

 

Events Director – Board member

One of the major cornerstones of Queerburners is in its events and creating safe and accountable spaces for LGBTQAI+ people and our allies that participate in the Burning Man community. This role is very important because it is also the main channel for our expenses as well as income to the organization. It will also serve as our biggest voice to what we are representing to the community about who we are.

  • Reports to the board on the status of our events production
    • Contracts, expenses, and more
  • Works closely with the Treasurer to make sure the budget for the organization is kept up to date
  • Financially responsible for events and projects including communicating any issues to the board
  • Actively pursues contracts and logistics for events that are approved and proposed
  • Can actively recruit support through volunteers and community partners as needed
  • Can hire and make agreements within scope of an approved budget from the board
  • 3 to 4 hours a week on average

Consultant Board Members

A specialized individual may join the board that represents a working role within Queerburners on a committee or process and has a voice in the decisions made. This might include a job or a community interest including but not limited to a specific task or someone from a marginalized part of the community for representation.

  • Actively engage in their role in Queerburners and report as needed to their committees and/or Director
  • 1 to 2 hours a week on average

Consultant Non Board Members (guests)

This could include guests who come into the meetings or persons with a specific function or role who have input into anything on the Queerburners agenda. Anyone in the meetings has a voice to share in those conversations and will be heard, but ultimately the Board has the final say. We are a consensus-based organization and require a majority vote to pass or not-pass, but want people to be heard.

  • Actively engage in their role in Queerburners and report as needed to their committees and/or Director
  • Look at roles and see if there is a place for your participation
  • Non-specified amount of time without an assigned function required.

 

Committees

Finance (Proposed and tabled in 2021_02_01 Board Meeting) - Temporary: Matt/Toaster

  • To meet at least 1x/month to discuss the financial well being of Queerburners by using a clearly defined balance sheet, budget and banking information. This is led by the Treasurer of Queerburners or their active temporary replacement.
    • Schedules meetings and writes an agenda for each meeting
    • Will report to the Board monthly on our financial status
    • Helps with budget planning for other departments
    • Monitors and provide feedback on purchases and expenditures

RIDE (formed 2021_01_06 Agenda Board Meeting (Post Formation) with no writeup - Nexus

  • To meet at least 1x/month to advance Queerburners’ Radical Inclusion, Diversity, and work in our organization  This is led by the RIDE Director of Queerburners or qualified volunteer. Full board participation is mandatory.
    • Schedules meetings and writes an agenda for each meeting on an ad hoc basis, when all board members are available. When schedules don’t allow, R.I.D.E. will be incorporated into the following board meeting.
    • Informs framework and processes for communal accountability among leadership.
    • Centers intersectionality in Queerburners’ RIDE work

Documentation - Terror

  • To meet as needed to provide training on documentation (including consistency of meeting agendas/minutes and organization of documents) for persons who have authorized access to the files for Queerburners. To support the development of any documents needed for consistency and efficiency across Queerburners committees.

Recruitment (no formal declaration) - Toaster

  • To meet as needed inside and outside of the organization in order to promote the Queerburners mission, within the scope of our policies and procedures. Led by any volunteer. Responsive to the needs of the organization and getting people into roles, as volunteers or paid, to meet our mission. 
    • Reports to the board of directors

Events (formed 2021_01_06 Agenda Board Meeting (Post Formation) with no writeup - Kurt / Toaster

  • As one of the core parts of the Queerbburners mission, the events committee is led by the Events Director. Guides all events and makes sure we are staying in scope of our community. 
    • Schedules meetings and writes an agenda for each meeting
    • Actively creates safe and accountable spaces for community engagement
    • Actively engages other events that meet our criteria and sponsor content and events that are parallel to our mission and goals. 

Fundraising - Matt

  • Develops and produces campaigns for raising monetary donations with Queerburners. This is led by a Board Member or a qualified volunteer with experience in non-profit fundraising. This group should be meeting 1x/ month or as needed. 
    • Schedules meetings and writes an agenda for each meeting
    • Drives and manages monetary donations from individuals and organizations
    • Identifies opportunities to raise funds through product sales

Grants - Sara

  • Supporting local artists and performers is a huge part of our mission. This is led by an experienced volunteer and works closely with the Fundraising Committee. This is also an early stage for the role.  This group should be meeting 1x/ month or as needed. 
    • Schedule meetings and write an agenda
    • Develop a policy and procedure guide to accepting donations in this area and how they are distributed to the artist. What is that process?
